Privacy Policy

Last updated July 23, 2026. Buildventory is operated from Canada and handles personal information in line with PIPEDA. Here is exactly what we collect and why.

What we collect

  • Account information — the name, email address, and password (stored only as a secure hash) of the people who sign in, plus two-factor settings if you enable them.
  • Your organization’s business data — the projects, units, deals, contacts, deposits, documents, and related records you create. Some of this includes personal information about your buyers and realtors that you enter; you control it, and we process it on your behalf.
  • Public-site activity — aggregate visit counters for your published buyer sites. These are plain counts. We do not set tracking cookies on your public visitors and do not build advertising profiles of them.
  • Operational logs — the minimal request and error logs needed to keep the service secure and working.

Why we collect it

We use this information to provide and secure the service: to authenticate you, to run the features you use, to send transactional email (verification, password resets, deposit reminders, disclosure deliveries), and to send the marketing email that you choose to send through the platform to your own contacts. We do not sell personal information, and we do not share it with third parties for their own marketing.

Where it is stored

Buildventory runs on servers we operate in a Canadian data centre (Montréal, Québec), with your organization’s data stored in a PostgreSQL database on those servers and uploaded files in Cloudflare R2 object storage. Some processing happens in the regions our sub-processors operate. We use reputable sub-processors only to run the service — for example transactional email delivery and payment processing — and only with the data needed to do so.

How long we keep it

We keep your organization’s data for as long as your account is active. When you close your account or ask us to delete it, we remove it within a reasonable period, except where we must retain something to meet a legal obligation.

Your choices and rights

Under PIPEDA you can ask to access the personal information we hold about you, to correct it, or to have it deleted. You can export your records to CSV from within the app at any time, and you can request a full export or deletion of your organization’s data by emailing us. Recipients of your marketing email can unsubscribe from any message with one click, and that choice is enforced on every future send.

Security

We protect data with encryption in transit, hashed passwords, per-organization data isolation, and access controls. No system is perfectly secure, but we take reasonable technical and organizational measures to guard your information.

Changes to this policy

If we change how we handle personal information, we will update the date above and, where it matters, notify you in the app or by email.
